Ray Event Management FZ-LLC (“Ray”, “we”, “us”) is an event management company registered in Ras Al Khaimah, United Arab Emirates under trade licence number 17009363. This policy explains what personal information we collect when you contact us or use www.rayrak.ae, why we collect it, and what rights you have over it.

We handle personal data in line with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the “PDPL”).

What we collect

When you submit an enquiry form, message us on WhatsApp, call us, or email us, we collect:

• Your name
• Your phone number
• Your email address
• Whether your enquiry is corporate or private
• Details about the event you are enquiring about: type, approximate date, expected guest numbers, venue status and the emirate it will be held in
• Anything else you choose to tell us in your message

When you browse www.rayrak.ae, we may also collect standard technical information through cookies and analytics tools: your IP address, browser and device type, the pages you visit, and how you arrived at our site. You can control this through the cookie banner shown on your first visit.

We do not ask for, and ask that you do not send us, sensitive personal data such as health information, religious beliefs or financial account details through our enquiry forms.

How we use it

We use your information to:

• Respond to your enquiry, usually by telephone or WhatsApp
• Prepare and send you a proposal or quotation
• Deliver your event, if you become a client
• Keep records of enquiries and projects for business administration
• Improve our website and understand which of our marketing is working

Our lawful basis for processing is your consent, given when you submit an enquiry, and our legitimate interest in operating and administering our business. Where we later contact you about our services beyond your original enquiry, we rely on your consent, which you may withdraw at any time.

Who can see it

Enquiries submitted through our website are delivered by email to Ray Event Management and are accessible only to our management team. We do not sell your personal data, and we do not share it with third parties for their own marketing.

We may share limited information with venues, hotels and suppliers where this is necessary to plan or deliver your event, and only the details needed for that purpose; with service providers who operate the tools we use, such as our website host and email provider; and with authorities or regulators where we are required to by law.

Where we keep it and for how long

Enquiry details are stored in our internal records, maintained by our management team on company systems. We keep enquiry records for 24 months from your last contact with us, and client project records for 5 years after the event, to meet our accounting and contractual obligations. After that, records are deleted.

Some of the service providers we use, including our website and email providers, may store data on servers outside the UAE. Where that happens, we take reasonable steps to ensure an appropriate level of protection.

How we protect it

We restrict access to enquiry and client information to the management team members who need it to do their job. Our accounts are password protected and our devices are secured. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your information against loss, misuse and unauthorised access.

Your rights

Under the PDPL, you have the right to:

• Ask what personal data we hold about you and request a copy
• Ask us to correct information that is inaccurate or incomplete
• Ask us to delete your information, where we are not required to keep it
• Withdraw your consent to us contacting you
• Object to or restrict how we use your data
• Ask us to transfer your data to another party in a usable format

To exercise any of these rights, email info@rayrak.ae with the subject line “Data Request”. We will respond within 30 days. If you are not satisfied with our response, you may complain to the UAE Data Office.

Cookies

We use cookies to make the site work, to measure how it is used, and to understand which advertising brings visitors to us. When you first visit, you can accept or decline non-essential cookies. You can change your choice at any time by clearing your browser cookies for this site and revisiting.

We may update this policy from time to time. The date at the top shows when it was last changed. Material changes will be highlighted on this page.
